Administrative Coordinator

This is an exciting opportunity to join Newbury College as an Administrative Coordinator, providing high-quality support across college projects, policies and governance. Working closely with the Executive and Senior Leadership teams, you will coordinate project activities, prepare and manage key documentation, support meetings and take accurate minutes, while ensuring policies and records remain organised, current and accessible. This role would suit an experienced administrator or co-ordinator who is highly organised, confident working with senior colleagues and comfortable managing a varied workload where accuracy, confidentiality and attention to detail are essential.
You will be an experienced administration professional with excellent organisational skills, strong attention to detail and the confidence to build effective working relationships with a range of colleagues and stakeholders. You will be proactive, able to use your initiative and comfortable managing competing priorities and deadlines. Strong Microsoft Word and Excel skills are essential, alongside experience of producing accurate documentation and records.
Reporting to the Executive Director – Standards and Projects (EDSP), your key areas of responsibility will include:
• Supporting the EDSP with the coordination of college projects, including preparing, maintaining and distributing project documentation and ensuring information is effectively shared with relevant stakeholders
• Providing a secretariat function for agreed projects, including coordinating meetings, preparing agendas and papers, arranging meeting logistics and taking accurate minutes
• Supporting procurement and due diligence processes and assisting the Senior Leadership Team with the coordination and reporting of projects.
• Supporting College governance arrangements, including Board and committee administration, preparation and circulation of papers and minute taking when required.
• Coordinating College policies, ensuring they are kept up to date, appropriately version controlled, approved and published, while supporting authors to produce accurate, high-quality policies.

Criteria:
• Experience working in an administration or co-ordination role
• Experience taking accurate minutes in meetings
• Strong Microsoft Word and Excel skills
• Experience co-ordinating activities, meetings or projects within a business environment
• Excellent organisation and record-keeping skills
• Strong attention to detail and the ability to produce high-quality documentation
• The ability to prioritise and manage a varied workload effectively
• Strong communication skills and confidence working with a range of colleagues and stakeholders
• The ability to use initiative, meet deadlines and maintain confidentiality
• Level 2 English and Maths
